Ayra Desk

From referral to first session, without the fax and phone tag.

Ayra Desk is AI intake coordination for ABA and speech therapy clinics in the US. Two agents read referrals, chase missing records and keep families informed. The clinic's staff approve what goes out.

The Ayra Desk Intake agent turning a faxed referral into a case, flagging a missing signed order and drafting a request for it.

The problem

Families slip away between the referral and the first session.

A referral can arrive by fax, email, portal or voicemail, and each one gets retyped by hand. One wrong digit can leave a family unreachable.

Then the phone tag starts. Clinics call at 2 PM and parents answer at 8 PM. One missing report can stall an authorization for two weeks before anyone notices, and the family still doesn't know.

Three illustrations: a handwritten referral fax, a log of missed calls, and an authorization returned for missing records.
How intake breaks down: paper that arrives incomplete, calls that never connect, and authorizations returned over a missing page. Illustrative documents.

Our approach

Work the months before the chart exists.

Practice systems are built for enrolled clients. An EHR starts when therapy does, and an AI receptionist stops at the phone call. The stretch in between, covering records, authorization and the waitlist, had no owner in the software.

So we built for that stretch, and we kept the clinic in charge of it. Reading messy faxes and drafting follow-ups has only recently become practical for software. Deciding what is correct is still a person's job.

Agents draft. Your team signs off.

What we built

One case per child, one pipeline, two agents.

  1. Intake agent

Reads the referral and builds the case

It reads faxed, emailed and web referrals, including multi-page and handwritten ones, and builds each case beside the original page. It flags what it isn't sure of and drafts requests for missing records.

A faxed referral beside a new referral record, with the missing signed order flagged and a request drafted.
  2. Inbox

Every fax lands in one place

Referrals are sorted, searchable and labelled like email, and each one gets a tracking number. A coordinator can correct any field before it commits to intake.

The Ayra Desk fax inbox listing referrals from several clinics, with labels and page counts.
  3. Coordinator agent

Keeps families informed and offers openings

It answers "where are we?" by text, checks what's missing, and offers open hours to treatment-ready families once a clinician picks the match. The front desk can see what it will do next and take over at any time.

The Intake and Coordinator agents side by side, each mid-task.
  4. Your rules

The clinic's policy decides who goes first

The clinic writes its waitlist policy and Ayra Desk applies it the same way every time, showing why each child is where they are. Nobody loses their place when a time doesn't work.

A ranking rules panel where a clinic turns its waitlist rules on and off.

Trust

Built for children's health information.

  • Always says it's an AI

Families can reply HUMAN to reach a person.

  • Texts only after opt-in

Families choose whether to hear from it.

  • Staff approve before payers

Nothing reaches a payer, referring office or practice system without approval.

  • Audit log on every case

Access is by role, and every action is recorded.

  • BAA before any patient data

Records and documents are encrypted in transit and at rest.

  • The EHR stays the record

When a child is ready, staff add the prepared record in one step.

Where it stands

In beta, starting small on purpose.

Ayra Desk is in beta with design partners. A pilot starts with one or two locations, a fax line and texting, with no EHR or payer integration needed to begin. The baseline and success measures, such as time to first contact, are agreed before go-live.

When a child is ready, Ayra Desk prepares the client record for CentralReach, Rethink Behavioral Health, WebPT and others. A direct CentralReach connection is in progress, subject to CentralReach's API access approval.
